Your new role
You will be working for the law firms central administration team, based out of their Lewes HQ. The role comes with an array of varied tasks ranging from sorting, opening and distributing the post to checking IDs & compliance in line with relevant regulations, and then easing in to managing matters.
Every day the morning will consist of dealing with the incoming post. The post must be sorted with P&C and other items (HR, Accounts, etc..) must be sorted accordingly. It must all be scanned on your new employers touch screen system, all cheques must be scanned correctly, each item of post must be distributed accurately to each office in the plastic envelopes provided, you must maintain ID/confirmation of Instruction forms to action separately, action & count post requests, carry out daily filing of the post, assist with mystery post when required, ensure post is given to the internal courier before 1pm daily, and ensure the cheque sign out sheets are signed for cheques daily.
As well as the above listed duties, there will also be data maintenance & cleansing, indexing, and file copying.
The central administration team is currently made up of 3 administrators and 1 team leader who would be your direct line manager. Although you will need to arrive in the role with a large part of the required skillset, there would also be continuous on-desk training and a shadowing programme.
What you'll need to succeed
Previous administrative experience in an attention to detail focused environment is essential, as the margin for error in this role is minuscule. You must be someone who is highly organised, and shows accuracy and close attention detail even when tasks become repetitive. Any experience on Dynamics would be advantageous but not essential, but overall IT competency is. A high standard of interpersonal and communication skills, especially in the context of client care, and a pleasant and positive manner in dealing with colleagues and clients. A willingness to learn new skills and embracing change in a positive manner is essential as there always constant changes being made to the day to day running of the business.
