FOUR PAWS is an international animal welfare organisation with Headquarters in Vienna, Austria, and has offices in more than 10 other countries world-wide. Founded in 1988, the organisation strives for improvements in animal welfare through sustainable campaigns and projects. FOUR PAWS focuses on animals that are directly under human influence, for example farm animals, companion animals and wild animals kept in captivity. FOUR PAWS aims to help animals in need directly and quickly.
The Director of Companion Animals (CA) needs a capable person to provide administrative and organisational support to her and to her international CA team. To ensure that FOUR PAWS procedures and systems are correctly implemented.
In broad terms the role will cover 4 primary areas of responsibility:-
Personal administrative support - diary management for the Director CA, booking meeting rooms/conference calls and notifying all relevant parties, organising travel, accommodation and itineraries, liaising with overseas offices, booking training courses, handling correspondence and coordinating information requests externally and internally.
HR Support - ensuring job descriptions, contracts and salary calculations are updated and files maintained, setting up 1:2:1 appraisal meetings as required and ensuring that the international team comply with HR legislation as it relates to each country.
Financial Administrative Support - producing the monthly expenses for Director and submitting expense claims to Finance, inputting budgets, monitoring expenditure and when required producing reports on cost centres.
Companion Animals Team Support - producing internal communication and regular activity reports for the CA team, minute meetings, maintaining and updating contact sheets, setting up and attending team meetings and organise team accommodation and flights as required, ensuring the CA team are up to date on the time recording system and that holidays and sickness is recorded and update the CM system for the CA team.
In addition you will undertake ad hoc projects as requested by the Director CA - which makes this a very stimulating and varied role. Ideally you will be able to evidence success in a similar broad and varied Personal Assistant role and you will have excellent administrative, organisational and communication skills as well as the personal passion to make a contribution to a busy, highly committed international team seeking to make a real difference for Companion Animals world-wide.
