Purchasing and Supplies Technician

To main purpose of this role is to provide support to the Estate Facilities Purchasing & Supplies function through the procurement of goods and services and the smooth running of the Stores.

The Head of Department may also from time to time require the role holder to perform other duties appropriate to the grade of the post.

Purchasing

To raise Purchase Orders for goods and services on the Planet and CUFS systems both from requisitions and stock shortages reports. It is important to ensure that stock does not fall below the minimum levels and that requests for non-stock items are met within the priority given on the requisition.

To update the items table on Planet when required, to include new items (avoiding duplications) and to update manufacturer’s codes etc.

To provide the Purchasing & Supplies Coordinator with support such as filing and other administrative tasks to enable an efficient purchasing service and to maintain stocks of stationery.

To manage the PPE issue processes.

Stores

The role holder will help to ensure that the Stores Counter is covered from 08:30 to 17:00 daily. Stores work includes counter service to operational staff, receiving and booking in deliveries, booking out stock to Work Orders and keeping the stores and satellite tidy and stocked to min/max levels. Regular counts of the stock are expected and all Purchasing & Supplies staff are involved in the full stocktake on fixed dates twice a year.

The role holder is encouraged to suggest and to help implement process improvements and to assist with keeping work instructions up to date

Responsibility for safe secure storage and transportation of hazardous materials such as compressed gas bottles including nitrogen, oxygen, acetylene and various refrigerant gasses. Is familiar with the legal documentation and vehicle signage requirements for this work. Carries out safe and secure transportation and off-loading of water treatment chemicals, salt, inhibitors etc. Is familiar with the COSHH requirements for the safe transportation and handling of these chemicals.

Deliveries & collections

Collects, loads, unloads and delivers materials, equipment, tools from/to Laundry Farm, various sites and suppliers to points of use/store. Most journeys are within the Cambridge locality but long distance journeys will be required from time to time. Carries out safe and secure transportation of fabricated assemblies from Maintenance Section workshops to the various sites.

Collects and delivers personnel from/to sites around Cambridge if required.

Transports and assists with erection of ladders, scaffolding and other access equipment including operation and use of the cherry picker.

Carries out safe and secure transportation and off-loading of diesel fuel to the various emergency standby generators located throughout the University Estate using the mobile fuel bowser. Monitors usage and maintains stored fuel levels for each generator.

Person Specification:

  • GCSE Maths & English or equivalent
  • A Levels or equivalent would be desirable
  • Excellent communication & customer relationship skills including telephone, email and face to face.
  • Experience of using a variety of computer systems
  • A strong commitment to excellence in service delivery.
  • Experience of working in a trade, purchasing, stores or building retail environment
  • Experience working with purchasing systems
  • Good Team Player
  • Highly organised to be able to cope with the demands of a busy role
  • Good IT skills and the ability to learn new systems
  • Ability to follow and to input to written procedures and instructions
  • Knowledge and experience of M&E, building trade and grounds maintenance stores and/or purchasing
  • Knowledge of COSSH regulations.

Desirable:

  • Full Current Driving License
  • 4 x4 (LANTRA) certification
  • Fork Lift Truck driving certification
  • certificate of Cherry Picker Operators
  • Qualified to tow trailers up to 2155kg in weight
