Senior Estate Manager - Mixed Use Development Scheme

Unique opportunity to look after a brand new, and very large mixed use estate in London. You’ll be on site prior to the launch of phase 1 (offices and retail) so the role is initially all about setting up the site for launch, establishing a strong operational team, ensuring that the highest standards of management, maintenance and service are implemented and then maintained. You’ll deliver a world class service to both tenants and clients and provide strategic direction across the site, acting as Estate Ambassador in your interactions with tenants and contractors alike. It’s a high profile role on a site that is generating a lot of media interest, and is a fantastic role for someone looking for the next step in their career.
Promotes high level of satisfaction among occupiers and clients by promptly responding to their service requirements. Assures prompt response by other team members and selected contractors.
Provides support to building occupiers as required.
Communicates with the occupiers of the property in a courteous manner and assists where able.
Acknowledges role as Estate “ambassador”.
Meet and greet visitors and occupiers of the Estate in a professional, courteous and efficient manner – dealing with any concerns efficiently.
Receives calls and callers to the Estate, determines nature of business and directs callers to destination in a timely and professional manner.
Maintain the highest standard of building and Estate management and cleanliness within area of responsibility and in accordance with agreed specifications
Liaise with contractors regarding building/Estate repairs/services and report as necessary to tenants
Develops a close working relationship with all contractors to ensure they fully understand the culture and standards, ensuring a high quality service is delivered.
Control contractors working on site and oversee the management of the Permit to Work System
Maintain an accurate record at all times of contracts, value, termination dates and other details applicable to the Estate.
Meet regularly with key contractors, to progress works and resolve operational issues.
Plan and implement contract works only where appropriate to the service charge budget and within the authorities.
To be responsible for ensuring that contractors observe all Health and Safety and client specific rules while on site.
Day to day management of all full-time contract site operatives e.g. security, cleaners.
Manage service providers and monitor performance against contracted SLAs and KPIs.
To carry out building/Estate inspections with the service providers to identify works for consideration in the next year’s budget.
Ensure all invoices are processed in line with KPI’s and that non-compliant invoices are referred back to the contractor.
To arrange and attend Tenant Liaison meetings and prepare Minutes for circulation.
To be responsible for onsite marketing initiatives and proposals in line with advice from retained marketing agent.
Building and maintaining working relationships with local Council for the greater good of the Estate.
Overseeing the running of annual events in the common areas for the Estate occupiers.
Overseeing of retail and restaurant amenities on site.
Prepare and circulate Quarterly Service Charge Variance Reports and provide commentary on any extraordinary expenditure.
Proven experience in similar environment
Customer Service experience
Compiling and managing a minimum of £1 Million service charge budgets
Ability to work on own initiative
